POSITION DESCRIPTION

 

Kirk of the Hills Presbyterian Church – St. Louis, MO.

 

POSITION:  Receptionist/Administrative Assistant

 

Reports To: Executive Administrator and Head of Staff

 


BASIC PURPOSE: To represent the Kirk of the Hills Presbyterian Church in a loving, caring, and serving capacity in every area described below.


NATURE AND SCOPE:  

 

A.    Duties and Responsibilities

 

The Receptionist/Administrative Assistant is the main contact (face with the place) for people in the church and outside the church for information and help.


1.     Receive the in-coming phone calls for the church.

2.     Give out information concerning the church such as: addresses and phone numbers of members to other members, times of services, times of bible studies, general information about the different ministries (adult, youth, children, and outreach) of the church.

3.     Greet and direct visitors as they come in the church office.

4.     Take calls from people who need assistance with food or money and direct the information to the appropriate Deacon or Pastor.  

5.     Support production of the church’s weekly newsletter. Maintain archive files on appropriate materials.

6.     Produce annual reports required at the denominational level.

7.     Aggregate and manage various database information such as new members, visitor information and other data inputs.

8.     Email Deacon for duty on Sunday. 

9.     Operate and maintain church software (membership program) and produce reports as needed for various ministers or members (mailing lists, labels etc). 

10.  Help with preparation of bulk mailings for various departments.

11.  Maintain copiers and printers and postal machine with paper, toner, ink cartridges and maintenance calls when needed. 

12.  Distribute all in-coming mail.

13.  Manage supplies (paper for copier, coffee cups, and paper goods) for workroom.

14.  Order office supplies for the church office.

15.  Assist other staff members with various duties when assistance is needed.

16.  Other duties and responsibilities as assigned.

Requirements


Previous receptionist and administrative responsibilities preferred. Operating as a part of a larger team required. Familiarity with Microsoft Office Suite required. Familiarity with Fellowship One and Service U software a plus.
