Description


Covenant Seminary seeks a part-time Events Coordinator (approx. 10–20 hrs./week; variable depending on events schedule). This position serves within the Advancement Department of the Seminary and reports to the Vice President of Advancement. The person in this position will work between departments on campus and with outside vendors to plan, prepare, and execute events for the Seminary.

Primary Responsibilities:


  • Key Events Coordinator: Under the oversight of the appropriate departmental leader, plan and shape key on and off-campus events, serving as the event manager. This work shall include detailed planning in all categories, working with internal staff and outside vendors to coordinate services and events, negotiating favorable rates and terms, communicating plans and updates, coordinating student and volunteer staff prior to and at events if necessary, preparing and managing budgets when necessary for each event, submitting check requests, post-event evaluation, and recommendations on process improvements for future events.


  • Master Events Calendar Manager: This position shall have primary responsibility for managing a digital Master Events Calendar shared by stakeholders in Admissions, Alumni Relations, Development, Marketing, and Communications, Academics, President’s Office, Physical Plant, and other Senior Staff as needed. Ensure details are updated in a timely manner and communicate pertinent changes with stakeholders. Leverage existing digital platforms (Outlook, Basecamp, Google Docs, etc.) as needed to ensure efficient communication throughout the team.


  • Communication: Have primary responsibility for managing internal and external event communication prior to and post-events as needed. This includes but is not limited to verbal, digital, and written communication with internal staff and vendors, coordinating with the Marketing Department to develop and distribute marketing/invite materials, updating stakeholders on event details, and coordinating people and services for event execution. 


  • Other Duties as Assigned.


Event Types:  


Examples of events this role will steward or in which it plays an integral part include:


  • Donor Events: 3-4 annually. Coordinate local donor events including 10 staff and 40 guests at a local country club or on campus. Coordinating communication and invitations, catered food, coordination with facilities, post-event follow-up.


  • Development Seminars: 3 times annually. Reserve and set up the room, purchase breakfast food, manage 3-4 communications.


  • Annual Conferences: Typically, 4-6 conferences are hosted annually, on campus. Work between departments to plan and execute conferences between 50 and 350 people including marketing and advertising, inter-department coordination, campus resources, day-of logistics, and follow up as needed. 


  • Men’s Leadership Breakfast & Ladies’ Tea. 7 meetings each semester. Room set up, ordering, and picking up food, clean-up, and staging email communication for a bi-weekly Bible study. Will also plan dates and coordinate with facilities.
