Description


The Counseling Department at Covenant Theological Seminary seeks a part-time (15–20 hrs./week) Counseling Department Assistant to provide administrative support to the faculty and staff within the Counseling Department and the CTS Counseling Center. The position will also:


  • Provide support to MAC students, especially during their practicum and internship years.
  • Create a hospitable environment for all visitors to the Counseling Department in keeping with a grace-reflecting community.
  • Offer services that model the Seminary mission through academic policy, procedures, and personnel.
  • Work with broader Advancement and Academic faculty, administration, and staff team members to achieve institutional goals.

The position will report to the Counseling Department Director. As a part-time position, this position DOES NOT receive health and dental care benefits or 403(b) matching benefits.

Requirements


Perform general administrative duties for the Counseling Department and its professors in the following areas:


1) Department Administration – up to 5–10 hours a week:

  • Assist Counseling Administrator with:
  • handling intake calls and requests, including taking answers to intake questions and entering into client database.
  • planning and coordination of all details of several events including: Adjunct Faculty Dinner (Jan.), Austin Harrington Counseling Lectures (Feb,), and New MAC Student Orientation (Aug./Sept.).
  • Assist the Intern Coordinator with coordinating, tracking and executing projects from the Internship Project Calendar, including mailing and collecting of site agreements and evaluations, monitoring timesheets, and supporting the execution of the Practicum Orientation; Internship Orientation; and the Site Supervisor Lunch and Learn.
  • Perform administrative tasks, including but not limited to: photocopying; assembly and addressing of mailings; scanning documents; sorting and distributing mail; sending faxes and emails; and other administrative needs as needed by professors.
  • Other tasks as assigned or shared between the Administrator, Counseling Assistant and Counseling Support Assistant. This is coordinated during weekly or bi-monthly meetings depending on the season.
  • Handle confidential information and projects for professors.


2) Assistance of Student Counselors – up to 5–10 hours a week

  • Coordinate room reservations for counseling rooms for Practicum students and Interns utilizing the meeting room manager system. 
  • Assist with training students on Resource Scheduler, TherapyNotes, and Zoom.
  • Print daily report of reservation schedule each evening (when open).
  • Assist with training student counselors on the operations of the department, including “tours” before they start seeing clients.
  • Collect monthly timesheets from student counselors, enter into database and provide Administrator with monthly report.
  • Aid student counselors in any needs, including, in the rare instance, interrupting a counseling session that may sound like a second person is needed in the room. 


3) Hospitality and Desk Coverage – up to 5–10 hours a week

  • Greet, screen and welcome all visitors to the Counseling Department/Center, providing them with a comfortable place to wait for their counselor, and offering hospitality (including providing coffee, tea and/or water) (when open).
  • Maintain the utmost confidentiality regarding campus and non-campus clients visiting the Department/Center.
  • Receive in-person requests for counseling.


4) Broader Seminary Goals and Mission

The Counseling Assistant, in order to maintain an understanding of the ethos, mission and current ethos of the Seminary, will:

  • Accurately complete timecards weekly and submit to Academics (through ADP)
  • Attend chapel 2 of 4 weeks a month (if during scheduled work hours)
  • Attend 6 of 12 CTS staff meetings per year (if during scheduled work hours)


Education and Experience (Special Skills, Licenses, or Certifications):

  • MAC alumnus and in licensure process.
  • CIT, PLPC-level experience and expertise needed.


Performance Factors:

  • Due to the nature of the department, no more than 1 week of work may be missed consecutively during the fall and spring semesters. Exceptions for extreme, special circumstances must be approved by the supervisor.
  • Must be available 3-4 Saturdays a year for special events, including yearly orientations for new practicum students, new interns and new MAC students.
  • Must be able to work 15–20 hours a week in-person during Department hours.
  • Excellent communication skills, works effectively and relates well with others.
  • Able to multi-task and maintain an orderly environment.
  • Must make confidentiality a top priority.
  • Must be willing to perform other duties as assigned.
