JOB SUMMARY AND OBJECTIVES:

  • Oversee all aspects of client intake and assignment in order to ensure quality client care and student training experiences.
  • Provide administrative support to the faculty, staff, and students within the counseling department.
  • Provide support to MAC students, especially during their practicum and internship years.
  • Create a hospitable environment for all visitors to the Counseling Department in keeping with a grace-reflecting community.
  • Offer services that model the Seminary mission through academic policy, procedures, and personnel.
  • Work with broader Advancement and Academic faculty, administration, and staff team members to achieve institutional goals.

 

POSITION RESPONSIBILITIES:

1) Oversight of Client Intake

·        Client Intake – Oversees the handling of all in-take calls from campus and the St. Louis community with regards to the free counseling provided by student counselors in the Counseling Department.

·        Client Assignment – Determines the best match of clients with student counselors and handles all aspects of assigning clients and answering intern’s first-response supervisory questions and needs.

·        Administrative Supervision – Updates supervisors as needed with information about student counselors.

 

2) Student Counselor Training and Mentorship

·        Student Counselors –

o  Provides administrative supervision and mentoring to student counselors as they face the challenge of balancing classes with their new responsibilities of being student counselors. This may include, but not be limited to: advising on types of clients to take; monitoring the number of clients and hours; questions about client contact; insight about clients from client intake calls; or answering related questions.

o  Assists with training student counselors on the operations of the department, including "tours" before they start seeing clients.

o  Aids counselors in any needs, including, in the rare instance, interrupting a counseling session that may sound like a second person is needed in the room.

o  Coordinate room reservations for counseling rooms for Practicum students and Interns utilizing the meeting room manager system. 

o  Print daily report of reservation schedule each evening (when open).

o  Assist with training students on Resource Scheduler, TherapyNotes, and Zoom.

o  Collect monthly timesheets from student counselors, enter into database and provide Administrator with monthly report.

 

3) Department Planning and Administration

·        Works with the Department Director (meets as needed)

o  Assisting with the administration of the department as outlined in the Department Project Calendar.

o  in managing and tracking Department budget categories of 1) supplies and 2) events and special projects.

·        Works with the Clinical Director (meets as needed)

o  assisting with overseeing, coordinating, or organizing the priorities and operations of the Department as outlined in the Clinical Director Project Calendar.

·        Works with the CACREP Director (meets as needed)

o  assisting with overseeing, coordinating, or organizing needs related to the CACREP Project Calendar.

·        Works with the Intern Coordinator (meets as needed)

o  Assist the Intern Coordinator with coordinating, tracking and executing projects from the Internship Project Calendar, including mailing and collecting of site agreements and evaluations, monitoring timesheets, and supporting the execution of the Practicum Orientation; Internship Orientation; and the Site Supervisor Lunch and Learn.

·        Works with Schedules and Events:

o  Helps coordinate logistics of the Austin Harrington Counseling Lectures

o  Executes all details of all events sponsored or co-sponsored by the department including: Student Counselor Information Meetings; Adjunct Faculty Dinner; New MAC Student Orientation; and the MAC All Welcome Lunch. 

o  Coordinates with the Department Director and Clinical Director on the front desk coverage for the open hours of both the Department and the CTS Counseling Center for each semester and create the staff schedule accordingly.

·        Works as Needed – Performs administrative tasks and all other duties and needs as requested, including:

o  Greet, screen and welcome all visitors to the Counseling Department/Center, providing them with a comfortable place to wait for their counselor, and offering hospitality (including providing coffee, tea and/or water) (when open).

o  Receive in-person requests for counseling.

o  handling confidential information and projects for Department professors as needed.

o  Perform administrative tasks, including but not limited to: photocopying; assembly and addressing of mailings; scanning documents; sorting and distributing mail; sending faxes and emails; and other administrative needs as needed by professors.

 

4) Broader Seminary Goals and Mission

The Administrator, in order to maintain an understanding of the ethos, mission and current ethos of the Seminary, will:

·        Accurately complete timecards weekly and submit through ADP

·        Attend chapel as able

·        Attend CTS staff meetings throughout the year

EDUCATION AND EXPERIENCE REQUIREMENTS

·        Experience with administrative and counseling-related environments

·        Covenant MAC alum preferred

 

ADDITIONAL PERFORMANCE REQUIREMENTS

·        Must be able to work in the department during peak days when Interns are on campus (Mondays).

·        Must make confidentiality a top priority.

·        Must possess and use excellent communication skills.

·        Must works effectively and relates well with others.

·        Must be able to multi-task and maintain an orderly environment

·        Must be willing to perform other duties as assigned.
