Description
The Executive Assistant/Intake Coordinator position is supervised by the Executive Director and the Director of Administration. This position serves a key role in helping CrossRoads expand support for our missional priorities, supporting our leadership team and board of directors, and connecting hurting people with the best clinical care to meet their needs. Key characteristics for a person in this role are strong emotional intelligence, excellent people skills, a strong belief in the dignity of each person as an image bearer, creativity, an eye for excellence, initiative, and strong planning skills.

Requirements
Servant Leadership • model Gospel-centered servant leadership when considering program objectives and people interactions. All members of the team at CrossRoads are encouraged to nurture their connection with God and listen to His leading as they execute their team responsibilities.
Supporting our Board of Directors • facilitate board communication by scheduling meetings, preparing binders for meetings • attend, take minutes and post to google drive when a board secretary is not available
Leadership Team Support • provide admin support to directors as needed • coordinate printing needs for all program areas (brochures, docs, etc) • provide back up billing/payroll support for Dir of Admin. as needed • assist therapists with insurance credentialing applications • update our staff contact list as new board members and employees join our team
Planning and Logistics • facilitate board and staff retreat arrangements, food, logistics • schedule meetings for executive director with donors and facilitate follow up • schedule travel for executive director • purchase and distribute donor appreciation gifts
Communications • update lobby slides every 4 weeks • handle social media and e-blasts • take meeting notes and distribute to staff • oversee newsletter printing and distribution (3x/yr) • keep Mailchimp and donor databases current • research grant and foundation opportunities relevant to missional endeavors
Intake Coordination • respond to calls and emails that come in between 9am-7pm Monday - Thursday, and 9am-5pm Friday and Saturday, seeking to respond to voicemails within the hour whenever possible and almost always within 4 hours. • email available counselors who fit the potential client’s needs and ensure that a good match is made.
Compensation: Guaranteed base pay of 10 hours/week at $20/hour; because some of the responsibilities of this position are project based, hours are expected to average 10-15 hours/week, compensated at $20/hour.
